The CEO and founder of Emergex is seeking a right-hand person to take charge of part of the company’s administration. As a pivotal figure between the CEO, our team, and our clients, you will be at the heart of the action!

Permanent position between 32 and 38.5 hours per week, spread over 4 or 5 days. At the office (2 days per week or, if preferred by the employee, more than 2) and telecommuting. Available for work at least from 9 AM to 4 PM, excluding lunchtime.

Your Challenges and Functions

  • Responsible for providing administrative support to the entire team and the CEO, including managing e-mail inboxes, maintaining our databases, preparing documents often from templates, compiling reports, writing minutes, organizing meetings and social activities, etc.
  • Coordinate follow-ups with clients, suppliers, and governments including billing, accounts receivable and payable, making payments, purchases, collection, negotiating payment agreements, etc.
  • Manage payroll, insurance, and timesheets, as well as respond to employee inquiries
  • Coordinate the recruitment process, including resume analysis, preliminary phone interviews, and onboarding
  • Supervise the external accounting technician and review bookkeeping entries
  • Ensure efficient office logistics and organization

Your Profile

  • At least 5 years of experience in an administrative support role with evolving responsibilities
  • College degree in a relevant field or equivalent experience
  • Goal-oriented and strong problem-solving skills
  • Highly organized, attention to detail and quality
  • Loyal, adaptable, proactive, efficient, and effective
  • Good verbal and written communication skills in French and English
  • Proficient in tools like Outlook, Excel, Word, Windows, and Internet browsing

Assets

  • Experience in HR and accounting in Quebec, preferably with QuickBooks
  • Work experience in an SME, preferably a professional services firm
